1. General Policy

All payments made to Vanguard Insight for consulting services are non-refundable, unless otherwise stated in a written agreement. Due to the personalized and time-based nature of consulting work, fees compensate for:

  • Professional time spent

  • Research, assessments, and deliverables

  • Meetings, communication, and preparation

  • Strategic recommendations provided

  • Operational frameworks and materials created

Even if the client chooses not to implement recommendations, the service has been rendered.

2. Project-Based Services

For services delivered under a contract or project agreement:

  • Payments are non-refundable once work has begun.

  • If a client cancels before work begins, Vanguard Insight may issue a partial refund at its discretion, minus administrative and scheduling costs.

  • Any completed portions of the project are billable and non-refundable.

The exact terms outlined in the project proposal or contract supersede these general guidelines.

3. Hourly or Session-Based Services

For sessions billed hourly or per meeting:

  • Sessions canceled with less than 24 hours’ notice may be charged in full.

  • Sessions canceled with more than 24 hours’ notice may be rescheduled but are generally non-refundable.

Advance payments for hourly services are non-refundable once the time slot has been reserved.

4. Digital Materials, Templates, and Reports

Any digital materials provided by Vanguard Insight—including documents, assessments, templates, training materials, and workflow tools—are non-refundable once delivered.

Digital products cannot be returned and are considered final upon receipt.

5. Failure to Provide Required Information

If a client fails to provide necessary information, access, or cooperation required to complete a project:

  • Vanguard Insight is not responsible for delays or incomplete deliverables.

  • Refunds will not be issued in these circumstances.

The client is responsible for providing anonymized and compliant data as agreed.

6. Service Dissatisfaction

If a client is unsatisfied with any aspect of service:

  • Vanguard Insight welcomes feedback and will make reasonable efforts to address concerns.

  • Refunds are not provided for subjective dissatisfaction, disagreements, or the client’s internal decisions regarding implementation.

We focus on solutions, adjustments, and clarifying recommendations—not refunds.

7. Exceptions

Refunds may be considered only if:

  • A payment was made in error (duplicate charge)

  • Vanguard Insight is unable to provide the agreed-upon service due to internal issues

  • An exception is granted explicitly in writing

Any approved refund will be issued using the original payment method.

Cancellation Policy

Because our services are scheduled in advance and often require preparation, research, and dedicated time blocks, this Cancellation Policy outlines the conditions and expectations regarding canceled or rescheduled services.

1. General Cancellation Rules

Clients may cancel or reschedule a session, meeting, or consultation; however:

  • Cancellations made less than 24 hours before a scheduled session may be charged in full.

  • Cancellations made more than 24 hours in advance may be rescheduled without penalty but are not refundable.

  • Advance payments for consulting time are non-refundable once a time slot has been reserved.

This ensures fairness and prevents loss of billable time.

2. Project-Based Services

For long-term or project-based consulting engagements:

  • Cancellations after a project has begun do not qualify for a refund.

  • Clients who terminate a project early will be billed for all work completed up to the date of cancellation.

  • Any unused hours or uncompleted project phases are non-refundable once the project is in progress.

These terms protect the significant planning and work invested in custom consulting.

3. Workshops, Trainings, and Group Sessions

For scheduled group trainings, workshops, or educational sessions:

  • Cancellations within 48 hours of the session may incur full charges.

  • Sessions may be rescheduled if adequate notice is provided and availability permits.

  • Materials created specifically for the session are non-refundable upon delivery.

Group sessions often require material preparation and scheduling coordination that cannot be recovered if canceled late.

4. No-Show Policy

If a client fails to attend a scheduled meeting or consultation without prior notice:

  • The session will be considered a no-show.

  • Payment for the missed session is non-refundable.

  • Rescheduling may require an additional fee depending on the type of service booked.

This ensures accountability and respect for scheduled time.

5. Cancellation by Vanguard Insight

In the rare event that Vanguard Insight must cancel a session or reschedule due to unforeseen circumstances:

  • Clients will be promptly notified.

  • The session will be rescheduled at no additional cost.

  • If rescheduling is not possible, a credit may be issued at Vanguard Insight’s discretion.

We prioritize clear communication and minimal disruption.

6. Emergencies and Special Circumstances

We understand that emergencies happen. At Vanguard Insight’s discretion:

  • Late cancellation fees may be waived in the case of serious emergencies.

  • Documentation may be requested for repeated exceptions.

Professional courtesy and clear communication help both parties work together effectively.
